Exporting Contacts with passport data to CSV

How to export your Tern contacts as a CSV file, including the full list of columns and how passport data is selected.

Written by Angie Pili

You can download all your contacts — including parsed passport details — as a CSV file from the Contacts list. Use this to back up your client data, prepare documents for a supplier, or hand off records when a client moves platforms.

How to export

  1. Go to Contacts in the left navigation.

  2. Click More actions (the ⋯ menu in the top-right of the contacts list).

  3. Select Export.

Tern generates the CSV immediately and downloads it to your device.

Columns in the export

The CSV contains one row per contact. Columns appear in this order:

If your agency uses agency import IDs, an Agency Import ID column is inserted between Passport - Expiration Date and Import ID.

If you export from the Shared with me tab, an Owner column is appended at the end showing the name of the advisor who owns each contact.

How passport data is selected

Each contact row uses the most recently updated passport on that contact's record. If a contact has multiple passports on file, the one with the most recent updated_at timestamp is used. The older passport is ignored.

Passport columns are always present in the file — they are blank (not missing) when a contact has no passport on file.

What the export does not include

  • Passport images

  • Credit card or payment information

Permissions

  • Default tab: exports your own contacts.

  • Shared with me tab: exports contacts that other advisors have shared with you. Includes the Owner column.

The export respects the same access rules as the Contacts list.

Compatibility with the group trip travelers export

The 10 passport column names and order in this export match the passport columns in the group trip travelers export exactly. If you import either CSV into a third-party tool, the passport block maps to the same headers in both files.
