Agent Billing: Managing Your Card on File and Fees - in closed beta

What to expect as an agent when your agency uses Tern billing, including how to add a card on file, update it, and view your fees and billing history.

Written by Molly Johnson

Background

If your agency uses Tern to bill membership fees or other agency fees, you keep a card on file so your agency can charge it. This article covers what happens when billing is turned on and where to manage your card and fees.

How Billing Works

Your agency sets up fees in Tern, such as a monthly membership fee or a one-off charge. Those fees are charged to the card you keep on file.

Your card is used only by your agency. Adding a card does not authorize Tern to charge it for any Tern subscriptions. Card details are fully encrypted.

Note: While your agency uses billing, you must keep at least one card on file at all times.

Adding Your Card When Prompted

When your agency turns on billing and you have an upcoming fee, Tern prompts you to add a card the next time you log in.

  1. Enter your card details and name.

  2. Agree to authorize your agency to charge the card.

  3. Click Save.

You can close the prompt and use Tern normally once your card is saved.

If you are in the middle of something urgent, you can snooze the prompt once. If you choose Remind me tomorrow, you must add a card the next day to access Tern. Until you add a card, all of Tern is blocked.

You will also receive an email letting you know to add your card

Adding a Card Before You Are Prompted

If your agency has set up billing, you can add a card ahead of time.

  1. Go to Settings.

  2. Click Agency Affiliations.

  3. Click View Details next to your agency.

  4. Open the Fees tab.

  5. Click Add Card and enter your card details.

Updating Your Card

To change the card your agency bills, go to Settings > Agency Affiliations > View Details > Fees and click Add Card. You can add a new card but cannot remove a card. The new card is used for fees going forward.

Tern notifies you if your card on file is expiring soon.

Viewing Your Fees and Billing History

The Fees tab shows:

  • Your saved card on file

  • Any recurring upcoming fees from your agency

  • Your billing history with your agency

For each charge in your billing history, you can see:

  • The billing date

  • Whether the charge was recurring or one-off

  • The line item, as configured by your agency

  • The receipt number

  • The payment method used

  • Whether the charge succeeded or the payment failed

Common Issues

A charge failed
