Arch RoamRight Integration (Beta)

Learn how to offer travel insurance to your clients through Tern's ArchRoamRight integration.

Before you can use the ArchRoamRight insurance integration, ensure you have:

  • ArchRoamRight Partner Account — You must have an active ArchRoamRight partner account with Agency Code and Agent ID credentials

  • Credit Card Authorization — You must have the ability to collect credit card authorizations enabled in your account settings

We’ve worked very closely with travel industry lawyers to develop these tools, but the information we give should not be seen as legal advice. Always consult with your legal counsel for specific questions.

As you use Tern to share insurance quotes and get credit card authorization, please remember that you are responsible for knowing travel insurance rules and regulations. Selling travel insurance is regulated differently based on where you and your clients are located. You are responsible for understanding these regulations and presenting insurance options to your clients in a compliant way.

Steps


Enabling the ArchRoamRight Integration

Before you can get insurance quotes and process purchases, you need to connect your ArchRoamRight account to Tern.

Step 1: Access Personal Integrations

  1. Navigate to your Personal Settings (click your profile icon in the top navigation)

  2. Select Integrations from the settings menu

  3. You'll see the Personal Integrations page with available integrations

Step 2: Get Your ArchRoamRight Credentials

Before connecting, make sure you have:

  • Agency Code — Your ArchRoamRight Partner Code

  • Agent ID — Your ArchRoamRight Agent Code

If you don't have these credentials:

  1. Access the ArchRoamRight Partner Portal to retrieve your Agency Code and Agent ID

  2. Contact your ArchRoamRight account representative if you need assistance at [email protected]

Step 3: Connect ArchRoamRight

  1. On the Personal Integrations page, locate the ArchRoamRight integration card

  2. Click Connect

  3. Enter your Agency Code and Agent ID

  4. Click Connect to save

Step 4: Verify Connection Status

After submitting your credentials, Tern will automatically validate them. You'll see one of two statuses:

  • Connected — Your credentials are valid and the integration is active

  • Pending — The credentials need additional verification from Arch RoamRight

💡: If your integration shows "Pending," click the Refresh button to re-validate.

Your integration will appear in a pending state until Arch RoamRight enables the Tern integration for your account. This should be completed within 1-2 business days so please reach out to [email protected] if you are still in a pending state after 1-2 business days.

Disconnecting the Integration

  1. Go to Personal Settings → Integrations

  2. Find the ArchRoamRight integration card

  3. Click Disconnect and confirm

Warning: Disconnecting will prevent you from getting new quotes or processing purchases until you reconnect.


Getting Insurance Quotes on a Trip

Step 1: Create Your Trip

  1. Create a new trip in Tern

  2. Set your travel dates (start and end date) — these are used to calculate insurance coverage periods

Step 2: Add Travelers

Insurance quotes require accurate traveler information. For each traveler, add:

  • Full name

  • Date of birth (critical for accurate quotes)

  • Complete address:

    • Street address

    • City

    • State (standardized format)

    • Country (standardized format)

    • ZIP/Postal code

⚠️ Important: Travelers must have complete and accurate address information for the insurance integration to function properly. We have added Country and State drop downs to contact addresses to keep this information as accurate as possible.

Step 3: Add Itinerary Items and Costs

  1. Navigate to your trip's Itinerary or Bookings tab

  2. Add your travel components (hotels, flights, activities, packages etc.)

  3. For each component, enter:

    • Total cost — used to calculate insurance coverage amounts

    • Destination — via the property, port or itinerary location section

Step 4: Set Deposit and Payment Information

For each booking in your itinerary:

  1. Set the deposit amount (if applicable)

  2. Specify the deposit due date

  3. If the deposit has already been collected, select the appropriate payment status and log the payment date

💡 Tip: Make sure all payment dates and amounts are accurate before getting quotes — these details affect available insurance options.

Step 5: Get Insurance Quotes

  1. Navigate to the Insurance tab on your trip

  2. Review the displayed trip details (travel dates, total cost, deposit date, traveler details)

    1. The destination field is dynamically derived from all locations and ports in the itinerary's activities and days, not from stored configuration data.

  3. Click Get Quotes to retrieve options from ArchRoamRight

  4. Quotes will display with plan options, pricing, and coverage details

You can:

⚠️ Important: If you change any trip details after getting quotes, click Get Quotes again to refresh with updated information.

Step 6: Prepare for Client Review

  1. Review all insurance options and details

  2. Click Ready for Client Review

  3. Publish your trip


Client Experience

Accessing Insurance Options

Clients will:

  1. Open the trip link you've shared

  2. Review their itinerary

  3. Click Select Insurance to view available options

Access Requirements:

  • Clients must use the exact email address associated with their traveler account

  • The email must be attached to a traveler with full access to the trip

  • Clients will receive a verification code via email to confirm their identity

Viewing Insurance Details

Each option displays:

  • Plan details — coverage inclusions and benefits

  • Pricing — cost for the selected plan

  • Policy documents — link to view sample documents by state

Selecting and Authorizing Insurance

  1. Client reviews all available options

  2. Client selects their preferred plan and clicks Continue

  3. Client enters payment information and submits authorization

What happens next:

  • Payment authorization is sent securely to ArchRoamRight

  • Insurance is automatically booked once processed

  • Trip status updates to show insurance as "Paid"

  • A booking is created in the ArchRoamRight system

Emails

Clients will receive an authorization confirmation that explains charges may be processed immediately if your advisor is using a booking integration.

This will also link to a PDF that includes the quote and policy link.

Documents

Travels will see their Order Confirmation in their documents after you publish the trip.


Advisor View After Booking

Booking Creation

After your client has authorized payment:

  1. Return to the trip in your Tern account

  2. Navigate to the Insurance tab

  3. Click into the insurance option to see:

    • Booking date in ArchRoamRight

    • Confirmation details

    • Plan and payment details

This booking will be shared with your agency or available in your booking list within the Commission tab. You can edit the expected commission field directly within the insurance booking view.

This booking will also appear in your ArchRoamRight Portal where you can view policy information, payment details, and traveler details.

Failed bookings

If a booking fails because of a payment declined or expired quote you will see that in the booking with the option to remove the clients authorization to reset. You can also use the clients authorization to attempt to make the booking directly in your Arch RoamRight portal.

Documents

The order confirmation with policy information will be added to the documents tab as visible to travelers.


Managing Insurance Bookings

  • Changes and Cancellations: Any modifications must be handled directly in the ArchRoamRight portal

  • Refresh Functionality: A refresh option is being developed to sync booking updates back to Tern

Arch RoamRight Promotion Terms

Earn an Additional 4% Commission When Booking Through Tern
Arch RoamRight is pleased to offer a limited-time promotion for travel advisors booking policies through the Tern platform.
During promotion, eligible travel advisors who book Arch RoamRight policies through Tern will receive an additional 4% commission on top of their standard base commission for each qualifying policy sold.
This promotion is designed to encourage advisors to leverage the Tern platform to streamline bookings while offering travelers access to Arch RoamRight travel insurance solutions.
Promotion Period:
12:00 am EST February 1, 2026 through 11:59 pm EST April 30, 2026. Terms and conditions apply.

Terms and Conditions
This promotion applies only to Arch RoamRight travel insurance policies booked and issued through the Tern booking platform during the promotion period commencing at 12:00 am EST on February 1, 2026 and ending at 11:59 pm EST April 30, 2026.
Eligible participants include travel advisors who are properly registered, in good standing, and authorized to sell Arch RoamRight products at the time of policy issuance.

  • The additional 4% commission applies solely to the base commission rate and does not apply to overrides, bonuses, fees, or other compensation arrangements.

  • Commission eligibility is based on policies that are successfully issued and remain in force, subject to standard policy terms, cancellations and refunds.

  • Adjustments, chargebacks, or cancellations may impact promotion eligibility and payout amounts.

  • The additional commissions earned during the promotion period are calculated and paid in accordance with Arch RoamRight’s standard commission payment schedule and processes.

  • Arch RoamRight reserves the right to modify, suspend, or discontinue this promotion at any time, subject to applicable laws and regulations.

  • This promotion may not be combined with other commission-based promotions unless explicitly stated in writing by Arch RoamRight.

All policies are subject to the terms, conditions, limitations, and exclusions outlined in the applicable policy documents. Coverage availability and provisions may vary by state.
