Project Expedition Tour Content Sync
When building a trip, you’ll notice a new Tour Library component in your itinerary builder. Drag this into your itinerary to start exploring available tours from Project Expedition.
Once you drag this library into your itinerary you will be able to browse the tours available on Project Expedition
Here you can search for Project Expedition tours by
Keyword
Tour Type
Location
Date Available (we only support selecting one date at a time currently)
When you have found a tour you are interested in you can Preview Tour or Add to Itinerary
When previewing a tour you can also Add to Trip and you will see all of the tour details within the description
Once you add it to your trip you will see all of the description information and associated images
You can now add in the pricing information within the Booking & Pricing tab
You can also make this activity optional!
Once your activity is ready for your traveler to review, you can publish and share the itinerary with them to take a look and potentially authorize payments
Project Expedition Tour Booking - In Beta!
This is in a beta release! While participating in this early beta testing please send all of your feedback about getting tours ready to book and booking them directly in Project Expedition to [email protected].
The Project Expedition booking integration extends the tour content sync and enables direct booking and payment within Project Expedition for tours that you have added to your itineraries. By connecting your account, you can pull in live inventory and pricing and then create bookings directly in Project Expedition.
Important Note on Payments: Unlike custom activities where authorizations might be processed at a later date, the Project Expedition integration charges the traveler directly when they authorize the booking. Once the client submits their payment authorization details in Tern, the transaction is processed automatically by Project Expedition.
Connect Your Project Expedition Account
To connect your Project Expedition account you will need to locate your API token in your Project Expedition settings.
You’ll need an active Project Expedition Advisor account to use these features. If you don’t have one yet, sign up here.
How to find your API Token:
Log into your Project Expedition account.
Click My Account in the top navigation.
Select Integrations.
Locate the Tern section and Copy your Tern Token.
How to connect in Tern:
In Tern, go to Settings in the top right corner.
Select Integrations from the left navigation.
Click Connect on the Project Expedition card.
Paste your token into the API Key field.
Click Connect.
You will now see that your Project Expedition account status is Connected. If you have any trouble connecting your account please reach out to the Tern support team.
Get a Tour Ready for Booking
When you add a Project Expedition tour to an itinerary after connecting your account, you will see new "Bookable Settings."
Please review the steps in Project Expedition tour content sync to add a tour to your itinerary.
Booking & Pricing: bookable settings
Once your project expedition account is connected you will see new settings in Project Expedition settings.
General Info
To ensure accuracy between the itinerary and the supplier, certain fields are locked once you engage Project Expedition booking features.
Note: The following fields will no longer be editable in Tern to ensure service accuracy: Supplier, Activity Subtype, Location, Start Date, Start Time, End Time, Description.
Click Edit Booking Details to fill in the details required to get this ready for direct booking.

Get tour ready to book
When you navigate to the Booking & Pricing tab you will see new fields that prepare your tour for booking directly in Project Expedition after a traveler authorizes a payment.
Date & Time: Ensure the date is accurate. You will only see times that are currently available in Project Expedition.
Traveler Counts: Select the number of travelers for each pricing rate.
Note: As you add travelers to the overall Trip in Tern, they will become available to assign here.
Pricing: Pricing rates may vary per tour. The total price will update automatically based on the number of travelers assigned to each rate.
Traveler Assignments: Add which travelers belong in each rate, these will also be filled based on the travelers added to the trip
Booking Contact: Assign the primary contact for the booking.
Note: This pulls email/phone data from the Tern contact profile. If this is missing, you can add it directly from this page. This contact will receive updates from the supplier but will not receive the initial Project Expedition email confirmation.
Operator Notes: Add any optional notes or answer custom questions required by the specific activity.
Status: Ready to book
Once all required fields are filled, the status will update to Ready to book. This indicates that the activity is set up for the client to authorize, allowing Tern to pass that authorization to Project Expedition to charge the traveler and attempt to book the tour.
You will also see the the payment is ready for traveler authorization.
Convert to Custom Activity
If you are not interested in creating a booking and charging clients directly in Project Expedition from a travelers credit card authorization then you can convert a Project Expedition activity to a custom activity where you set the price directly.
Click the three dot menu within the booking status section
Click Convert to custom activity
The fields within General Info and the Booking & Pricing tab will now be editable.
Traveler Authorization & Payment
When the traveler views their itinerary, they will see the activity and pricing just like any other item.
Payment Processing: When the traveler clicks to authorize payment, they will be charged by Project Expedition shortly after authorization.
Tern will automatically attempt to create the booking in Project Expedition once the authorization is submitted.

Authorization
Travelers will authorization payments just as they do for custom activities. Once they submit their authorization Tern will try to create the booking directly in Project Expedition.
Pending Confirmation
An email confirmation will be sent to you as the advisor when you create a booking in Project Expedition. A booking is also created we will mark the record as Booked Tern and share it with your agency. You will still be able to edit the booking Accreditation by clicking the three dot menu and clicking Edit Booking Details.
You will see the booking in your Pending list in your Project Expedition account and you will receive a confirmation email for the booking.
Errors on Booking
If a tour is no longer available then a booking will not be created in Project Expedition. You will see that a booking is in an Booking Failed status. You can reset this so a traveler can re-authorize a payment or you can convert it to a custom activity.
Manage a Booking
Tern checks for status updates every 45 minutes until a booking is confirmed. To manually pull an update from Project Expedition, use the Refresh Booking option in the three-dot menu.
Confirmed
Once a booking is confirmed you will see the updated status in Tern.
Cancelled
To cancel a booking:
Cancel the reservation directly in your Project Expedition account.
Return to Tern and refresh the booking to reflect the Cancelled status.
Disconnect Integration
If you disconnect your integration:
Booked: all activities that are booked will retain their Project Expedition information in Tern but there will be no update activity.
Ready to book: all activities that are ready for booking will remain Ready to book but the booking creation will fail in Project Expedition.
New Project Expedition activities: will be set to custom activities with the ability to add a price directly.
Roadmap
Currently we only support required activities on regular trips with the Project Expedition booking integration. We do have some updates to make this integration better over the next few months!

You will cancel this directly in Project Expedition and then you can update the activity so it shows the correct status in Tern.
Why don't I see a tour in Tern that I see on the Project Expedition website?
Tern updates all Project Expedition tour content weekly so there might be cases where we haven't yet added the tour that is available in Project Expedition.
