Overview
Client Tour Search lets advisors give travelers the ability to browse available tours from Project Expedition right within their trip itinerary. Travelers can filter tours, choose dates and times, add participants, and authorize payment — all in one seamless flow. Once payment is authorized, the tour is booked automatically.
Requirements
Your account must have the Project Expedition integration enabled. If the integration is not yet connected, you'll be prompted to set it up when you try to activate this feature.
How to Enable Client Tour Search
Open the trip and navigate to the Overview tab.
Scroll down to find the Allow travelers to browse tours toggle.
Turn the toggle on.
Publish the trip to make the option visible to your travelers.
Note: If you haven't connected the Project Expedition integration yet, clicking the toggle will prompt you to connect it first. Once connected, return to the trip overview and enable the setting.
The Client Experience
Browsing Tours
When a traveler opens their itinerary link, they'll see a Browse Tours button. Where it appears depends on whether they have other pending actions:
If the traveler has pending authorization, insurance selections, or options selections Browse Tours appears as a secondary option alongside those actions.
If there are no pending actions, Browse Tours becomes the main call to action on the itinerary.
When the traveler clicks Browse Tours, they can:
View available tours sourced from Project Expedition.
Use filters (e.g., private tours) to narrow results.
Select a tour they're interested in and tap Add to Itinerary.
Selecting Date, Time, and Participants
After choosing a tour, the traveler will:
Choose a date — Date options are limited to the dates of the itinerary.
Choose a time — Available time slots will display. In some cases, no times may be available for a given date; the traveler can go back and select a different tour or date.
Add participants — Each traveler associated with the trip must be individually selected. The price will update based on the number of participants.
Review the cancellation policy — This is pulled directly from Project Expedition.
Select the traveler and booking contact for the reservation.
Save the selection.
The traveler can return to Browse Tours at any time to add additional tours to their trip.
Authorizing Payment and Booking
Once a tour is saved, it is added to the trip in a Ready to Book status. The traveler can then:
Navigate to Authorize Payments.
Enter payment details and submit the authorization.
Once authorized, the tour is booked immediately.
After payment is authorized, the traveler's view will update to show the payment as Paid.
What the Advisor Sees
On the advisor side, once a traveler books a tour:
The activity will appear on the trip as Booked — Pending Confirmation or Confirmed.
The advisor can click into the booking to view details.
A link to view the voucher in Project Expedition will be available once confirmation is received.
Frequently Asked Questions
What happens if no times are available for a selected tour? This can happen depending on availability from Project Expedition. The traveler can go back and choose a different tour or try another date.
Can travelers add more than one tour? Yes. After booking a tour, the Browse Tours button remains available so travelers can continue adding additional tours.
Do I need to do anything after the traveler books a tour? The booking is processed automatically. You'll see it appear on the trip as "Booked — Pending Confirmation." Once confirmed by the supplier, documentation such as vouchers will become available via Project Expedition.
What if I don't have the Project Expedition integration set up? You'll still see the toggle to allow travelers to browse tours, but you'll be prompted to connect the integration before you can activate the feature.
