Hiding activities from travelers

How to hide activities on a trip itinerary from travelers

Hide any activity on an itinerary so travelers don't see it in their trip view or pricing total. Cancelled bookings are hidden automatically.

What it does

Hiding an activity removes it from the traveler's itinerary and from the traveler's pricing total. The activity, its authorizations, and its cost are all excluded from anything the traveler can see. Everything stays visible to you in the advisor view for reference.

This is most useful when:

  • A booking is cancelled (Tern handles this for you automatically)

  • You want to keep an activity in your records without showing it to the traveler

  • You're staging changes before sharing them

How to manually hide an activity

  1. Open the trip and go to the itinerary.

  2. Click the three dots on the activity you want to hide.

  3. Select "Hide from travelers".

The activity is now hidden from the traveler's view. The total trip price shown to the traveler updates to exclude the hidden activity.

How to show a hidden activity again

  1. Click the three dots on the hidden activity in the itinerary.

  2. Select "Show to travelers".

The activity, its pricing, and any authorizations visible to travelers return to the traveler view.

How automatic hiding works for cancelled bookings

When a booking is cancelled, Tern automatically hides the activity from the traveler. This applies to:

  • Bookings you cancel manually by editing the booking

  • Bookings cancelled through an integration partner (for example, Project Expedition)

Once the booking shows as cancelled in Tern:

  • The activity is hidden from the traveler's itinerary

  • The cost is removed from the traveler's pricing total

  • A "cancelled" indicator appears on the activity in your advisor view

If you want the traveler to see a cancelled activity again, use the same three-dot menu and select "Show to travelers".

What stays visible to you as the advisor

Hiding an activity only changes the traveler view. In your advisor view:

  • The activity remains on the itinerary

  • Authorization records stay in the Booking & Pricing tab and in documents

  • Payments are still recorded for reference

  • The activity's total cost and total paid are set to zero in the trip total

If you want the traveler to see specific authorization documents from a hidden activity, you can make those documents visible to them individually from the documents section.

You'll know it worked when

Preview the trip from the advisor view. The hidden activity does not appear on the traveler's itinerary, and its cost is not included in the traveler's pricing total.
