Booking submission one-way sync

Learn how a one-way sync with external commission tracking systems works in Tern

Overview

If your agency has a one-way sync set up between Tern and their external commission tracking system, you'll be able to submit bookings in Tern and have them pushed over automatically to that system.

How to submit a booking through Tern

1. For any trip activity, first go to the Booking & Pricing tab

For packages or insurance, scroll down to that section.

2. Select your accreditation and review your booking details

In the Booking details section, you'll see an Accreditation dropdown. Your agency's credentials should be defaulted here. If this isn't working, consult our 'default agency' documentation. Make sure the correct credential is selected, as this determines which agency the booking syncs to.

If your agency requires specific fields to mark items as "booked", you'll receive an error to correct any issues. Learn more.

3. Click "Mark as Booked"

Once your accreditation and booking details are set, click the "Mark as Booked" button in the top right of the Booking details section. You won't be able to edit the accreditation during this step, so make sure it's correct beforehand.

4. Your booking will be pushed automatically to your external commission tracking system

Review any payouts there. As of right now, you won't be able to log this received commission against synced bookings in Tern. But we will be supporting that soon.

5. Updates you make to your booking will be automatically synced

If you log payments on your booking, change traveler info, update the cost, etc., those changes will be automatically synced. If you cancel a booking, that cancelled status will also be synced.

6. Please note that changes made in the external commission tracking system will NOT be synced back into Tern

Full list of synced fields

  • Trip title

  • Trip start & end date

  • Total trip price

  • Expected commission

  • Total trip cost mark 'paid'

  • Activity type

  • Booking title

  • Confirmation number (first added)

  • Group booking number (for group trips)

  • Booking supplier

  • Booking start/end date

  • Total booking cost

  • Booking expected commission

If you have multiple confirmation numbers on a single booking in Tern, only the first will sync to your system's back-office. As a workaround, you can manually enter bookings for the additional confirmation numbers, or split them out as separate bookings in Tern to sync them over.

  • Tip: use a rejected second itinerary in Tern to sync them for the same trip, but not have your client see them.
