Agency user permissions let you customize what specific members of your agency can do. This article covers the permissions available today. More will be added over time.
Who can manage permissions
Only agency admins with the team management permission can change another member's permissions.
Credit card permissions on shared trips
This permission controls whether a member can see full client credit card details on trips that are shared with them. It applies to admins, collaborators, and agents.
How access works by default
Tern has three agency roles. Each gets different default trip access:
Admins. Automatically shared on all agency trips with full credit card access.
Collaborators. Automatically shared on all agency trips with full credit card access.
Agents. Only see trips they're directly added to. They have full credit card access on those trips by default.
Members can always see full credit card details on trips they own, regardless of this permission.
How to restrict credit card access for an admin or collaborator
Use this method for any member who gets shared on all agency trips automatically.
Go to Settings.
Under the agency section in the left nav, click Team & billing.
Click the row of the member you want to update.
Toggle off credit card details.
Click Save.
How to restrict credit card access for an agent on a specific trip
Agents only have access to trips they've been directly added to. Manage their credit card visibility from the trip itself.
Open the trip overview.
Go to the Collaborators section and add the agent.
Click the three-dot menu next to the agent and select Manage trip access.
Toggle off credit card details.
Click Save.
What a restricted member sees
When credit card details are turned off for a shared trip, the member can still see:
That a credit card authorization occurred.
The cardholder's name.
The last four digits of the card.
They cannot see full credit card details. The view details link on the authorization will show that the details are unavailable.
Admin permissions
These permissions apply only to admins. They control what an admin can manage at the agency level.
Available admin permissions
Two admin permissions can be managed today:
Manage agency suppliers. Controls whether an admin can add new suppliers or edit existing ones in the agency supplier library.
Team management. Controls whether an admin can manage team members, change roles or splits.
Billing management. Controls whether an admin can add or remove paid seats, and access billing settings.
Both are on by default for every admin.
How to restrict an admin's permissions
Go to Settings.
Under the agency section in the left nav, click Team & billing.
Click the row of the admin you want to update.
Toggle off any permissions you want to restrict.
Click Save.
What a restricted admin sees
When manage agency suppliers is turned off:
The admin can view all suppliers in the agency supplier library.
They cannot add new suppliers or edit existing ones.
When team is turned off:
The admin can view the team list.
They cannot click into any member's profile to change roles, splits, or remove members.
When billing is turned off:
They cannot purchase or remove seats.
