We understand that team dynamics can change, and team members may join or leave. In either case, you may wonder what happens to their trips, how access is managed, and whether you still have access to important information such as credit card authorizations and terms and conditions.

Access to Trips for Invited Users

When an invited user joins a team, they gain access to trips shared with the agency. These shared trips are available in the user's account under the "Shared with Me" section. This ensures that newly added team members can seamlessly collaborate on shared travel itineraries and take part in ongoing projects associated with the agency.

Key Points on Invited User Access:

  1. The user must accept the team invitation to enable access.

  2. Shared trips are automatically visible under the "Shared with Me" section.

Firstly, if you have paid for the team member's seat, you will still have access to their trips even after they have been removed from the team. This means that any trips that have been shared with the agency will remain shared and accessible to you.

This also means that you will still have access to all the same information that the team member had access to while collaborating on the trip. This includes credit card authorizations and terms and conditions.

However, it's important to note that departing agents retain access only to trips they personally own; those they have created themselves. They lose access to shared agency workflows, templates, and other shared resources once their agency account is deactivated. Additionally, departing agents must maintain an active Tern subscription to continue accessing their owned trips.

We understand that this may not fully support your needs, which is why we also allow for reassignment of trip ownership. This means that the team member can transfer ownership of the trip to the agency admin or owner, if that is how your policy or terms work for trip ownership. It’s also worth noting that if the departing agent does not maintain an active subscription after leaving the agency, they will no longer have access to their trips or the ability to manage them.
