The Collaborator role is designed for agency team members who need access to trip and contact information without full administrative privileges or commission access. This article covers what Collaborators can and can't do within an agency.
Subscription required: Collaborators still need an active Tern subscription to log in — either their own individual subscription or a seat covered by your agency or host network (e.g., GTN). The Collaborator role means they won't consume a full Agent seat or have access to agency billing, commissions, and settings, but a subscription is still required to access Tern.
How to Assign the Collaborator Role
You can assign the Collaborator role from your agency's Team settings page.
For a new member: When adding a new team member, select "Collaborator" as their role during setup.
For an existing member: Find the team member on the Team settings page, edit their profile, and change their role to "Collaborator."
Only agency Admins and Owners can manage team roles.
What Collaborators Can Access
Members with the Collaborator role can view and edit all trips and contacts that are shared with their agency. Their level of access to these trips and contacts is the same as if they had been added as a collaborator directly — they can see and edit information on those records just like any other collaborator on a trip or contact.
What Collaborators Cannot Access
Agency Settings
Collaborators do not have access to any agency-level settings, including:
Team and billing
Financial settings
Integrations
Agency terms and conditions
These settings are reserved for agency Admins and Owners.
Commissions
Collaborators can only see their own commission information. They do not have visibility into:
Agency-level statements
Bookings belonging to other advisors
Unclaimed bookings
Payout statements that do not belong to them
Reporting
Collaborators only see reports related to their own individual sales. Agency-wide sales reports are not visible to users with the Collaborator role.

Can Collaborators see other agents' trips and contacts?
Yes. Collaborators can view and edit all trips and contacts shared with the agency — including those created by other agents. They cannot see other agents' bookings, commissions, or agency-wide reports. If you need team members who can only see their own trips and contacts, use the Agent role instead.
Do Collaborators need a paid Tern subscription? Yes. Even though the Collaborator role doesn't count as a paid Agent seat, every Tern user — including Collaborators — needs an active subscription to log in. This can be their own individual subscription, a seat covered by your agency, or a subscription through a host network like GTN.
