Project Expedition: Transfers (Beta)

Quote, book, and confirm private transfers directly in Tern—powered by live pricing from Project Expedition.

Before you start

You'll need the Project Expedition integration enabled on your account. If you don't see the Transfer Quote component in your library, reach out to your admin to get it turned on. Project Expedition is a third-party supplier integrated with Tern to streamline the booking of transfers and activities. This integration allows for auto-booking under specific conditions, simplifying the process for users while ensuring seamless transactions.

Get a quote

  1. Open an itinerary and drag the Transfer Quote component from your library items into the trip.

  2. Fill in the transfer details:

    • From: Select the pickup location (e.g., an airport)

    • To: Enter the destination address (e.g., your traveler's hotel)

    • Date: Auto-filled from the itinerary

    • Passengers: Select the number of adults, children, and infants

  3. Click Get Quote.

Tern pulls live pricing from Project Expedition. This may take a few seconds. Quotes are valid for 24 hours and refresh automatically when:

  • You visit the booking and pricing tab of the transfer activity

  • Your traveler is on the authorization page with the transfer activity

If a transfer is no longer available when you are on the booking and pricing tab of the activity we will show you are warning that you need to select a new vehicle.

Optional add-ons

You can make a transfer quote an optional add-on, which lets your client decide whether to add it to their trip. This is useful when you want to offer a transfer without committing to it on the client's behalf.

  1. Drag the Transfer Quote component into your itinerary.

  2. Toggle on Optional add-on.

  3. Fill in as much or as little detail as you'd like. You can leave fields blank for the client to complete themselves, or pre-fill details to make it easier for them.

  4. Publish the itinerary.

You don't need to select a vehicle. If you leave the vehicle unselected, your client will choose from available quotes on their own.

When your client opens the published trip, the transfer appears as an optional add-on rather than a confirmed part of the itinerary. If you wish to create a transfer in Tern without triggering the auto-booking workflow through Project Expedition, use the "Transportation" trip component instead of the "Transfer Quote" Library item. This approach bypasses the auto-booking functionality tied to the "Transfer Quote" feature.

Select a vehicle

Once quotes load, you'll see available vehicle options. Select one to view the details, including:

  • Wait time and trip duration

  • Max passengers and luggage

  • Total cost

  • Cancellation policy

Add booking details

After selecting a vehicle, you'll need to fill in a few more fields before the transfer is ready to book depending on the origin or destination:

  • Airport

    • Flight airline (e.g., United)

    • Flight number

    • Origin airport of the flight

  • Cruise

    • Cruise line

    • Cruise ship

    • Ship arrival time

  • Train

    • Train number

    • Tranin origin departure time

  • Lead passenger — choose from the travelers already on the trip

Once these are filled in, the transfer status changes to Ready to book.

What happens at client authorization

When your client authorizes payment for the trip, the transfer books automatically with Project Expedition using the details you entered—no extra steps needed. This happens because the "Transfer Quote" Library item interacts directly with Project Expedition, automatically searching for transfer options and processing bookings once payment is authorized.

Here's what the client experience looks like:

  1. The client opens the published trip and clicks Authorize payments

  2. They verify their identity and see the transfer included in the trip

  3. They authorize payment with a card on file

  4. The transfer is booked and confirmed

If the transfer if no longer available then we will still collect client authorization and show a failed booking status to you as the advisor.

Confirm the booking

After your client authorizes, refresh the advisor view. You'll see:

  • A confirmation number on the transfer

  • Status updated to confirmed (or pending confirmation, depending on timing)

  • A link to view the booking in Project Expedition, including the full voucher

No need to re-enter any details in Project Expedition — everything flows through from Tern automatically.

FAQs How can I avoid auto-booking? Use the "Transportation" trip component instead of the "Transfer Quote" Library item to bypass the auto-booking functionality.

What if a booking fails? Reach out to Tern support — they'll help get it resolved.

How do I modify or cancel a transfer? Make changes directly in Project Expedition or cancel in Project Expedition and get a new quote. Modifications and cancellations aren't currently supported from within Tern. You can refresh the booking in Tern to see the updated status.

How do I remove a cancelled transfer from the itinerary?

You can delete a transfer from the itinerary like any other activity. Cancel the transfer in Project Expedition first, then refresh the booking status in Tern. Once it shows as cancelled, open the activity's three-dot menu and select Delete to remove it from the itinerary.

What if a booking fails?

If a booking fails, try Resubmit first — this retries the booking using the existing payment authorization, so your client does not need to authorize again. If Resubmit also fails (for example, if the price has changed since authorization), use Reset to clear the authorization and collect a new one from your client. If the booking continues to fail after resubmitting, reach out to Tern support for further help.
