What's new
We're testing some new capabilities on the Reporting page. You'll notice the tabs have changed:
Tab | What it does |
Reports | Your existing dashboards (saved reports will appear here soon) |
Report Builder | Build your own custom tables and charts by selecting the data you need |
AI Assist | Ask questions about your data in plain English and get charts and tables back (early and experimental, see below) |
Who can access these features
Report Builder and AI Assist are available on Tern Pro. If your plan doesn't include Tern Pro, you won't see these tabs, and that's expected. Your existing reports and dashboards are available to all advisors regardless of your plan. Everything you need for standard reporting lives in your existing dashboards under the Reports tab.
You will see the Report Builder and AI Assist tabs under the Reporting page, but if your plan does not include those capabilities, you will be prompted to upgrade to Tern Pro.
Note: You don't need Report Builder for most common lookups. Things like client birthdays, top clients, dormant clients, sales by supplier, and commission tracking are already built into your standard reports, no Tern Pro required. Go to Reporting and open the relevant report (for example, Your Clients for birthdays and client stats) before building a custom one.
Report Builder: How it works
When to use Report Builder
Use Report Builder when you need a custom view your standard dashboards don't already provide, like a specific combination of columns and filters you want to save and reuse. For everyday questions, check your existing reports first. They already answer most common needs in one click.
The Report Builder lets you create your own reports by picking the columns and filters you want. No engineering help needed. Think of it as building a custom spreadsheet view of your data that you can save and download.
Building a report
Go to Reporting → Report Builder. You'll land on the Bookings data source by default. This has all your sales data, commissions, suppliers, destinations, and client info. It's the same data behind your existing sales dashboards.
Choose your columns. On the left panel you'll see columns organized into Measures (numbers you can sum up, like revenue and commission), Attributes (things you can group by, like advisor name or supplier), and Dates. Click the columns you want to include.
Add filters. As you add columns, a table builds showing your data. Add filters to narrow things down, for example bookings from a specific date range or supplier category.
Switch views. You can switch between table and chart views if you want to visualize the data.
Other data sources
Bookings is the default, but you can switch to other data sources using the dropdown in the top-left corner of the Report Builder. Here's what's available:
Data Source | What's in it | Good for |
Bookings (default) | Sales amounts, expected/received commissions, booking status, suppliers, destinations, client info, locations, room nights | Sales reports, commission tracking, supplier analysis, destination breakdowns |
Clients | Client directory with first/last name, email, phone, address, birthday, lifetime booking value, upcoming/recent trips, completed trip count, tags | Contact exports, client engagement reports, birthday lists, repeat traveler identification |
Commissions | Commission payments received from suppliers with advisor/agency/host income splits | Commission reconciliation, received vs expected analysis, advisor payout prep |
Trips & Leads | Trip pipeline from lead creation through booking conversion, stale lead detection, days since last update | Pipeline health, lead aging, conversion tracking, stale lead follow-up |
Advisor Payouts | Commission payouts from agency to individual advisors with tax year tracking | 1099 reporting, payout history, advisor compensation review |
KPIs | Daily performance metrics (bookings count, gross sales, commission, clients added) with month-to-date and year-to-date filters | Trend analysis, period-over-period comparisons, performance dashboards |
Tip: Most users will spend 90% of their time in Bookings and Clients. Start there.
Saving a report
Once you've built something useful, you can save it:
Click Save (top of the page).
Give your report a descriptive name, something like "Q1 Cruise Bookings by Advisor" or "Client Contact Export."
Your report is saved and will retain its columns, filters, and layout.
Downloading and exporting
Every report (saved or not) can be downloaded:
Click the download icon or use the More menu.
Choose your format: CSV, Excel (XLSX), PDF, or PNG (for charts).
The export will include all the data matching your current filters.
Note: You may see -- in place of blank or empty values in exports. This is a known quirk. If you're importing into another system, a quick find-and-replace of -- with blank will clean it up.
AI Assist
The AI Assist tab lets you ask questions about your data in plain English, for example "What are my top 10 destinations by revenue this year?", and get a chart or table back.
This feature is early and experimental. It can be genuinely useful for quick one-off questions, but it doesn't always get things right and the interface is still rough. We're including it in the beta so you can try it, but we'd like you to focus most of your time on the Report Builder. That's the feature closest to being ready for a wider audience.
If you do try AI Assist, we'd love to hear:
What questions did you ask?
Did it give you the right answer?
Was it confusing or helpful?
What you need to know
Data freshness: The data behind these reports syncs on a regular schedule, and most changes appear within 45 to 60 minutes. To check how current the data is, look at the "Data updated X ago" timestamp in the top right of the report. This is the same refresh behavior as your existing dashboards.
Data access: You'll only see data you're already authorized to see. Advisors see their own data. Agency admins see agency-wide data. This is the same access model as your current dashboards.
These features are not final. The interface, tab names, available columns, and capabilities may all change based on what we learn from this beta. Don't build critical business processes around these features yet. Use your existing dashboards for anything mission-critical.
Quick reference: What's available in Report Builder
See the Other data sources table above for a full breakdown. A few highlights worth calling out:
In Bookings: booking details, supplier name and category, product type (cruise, hotel, flight, etc.), destination (country, state, city), client name and email, advisor name, confirmation number, all key dates (booking date, travel start/end, expected commission date), gross sale amounts, expected and received commission, and room nights, all in your preferred currency.
In Clients: first name, last name, and middle name as separate fields (useful for mail merges), plus email, phone, full address, birthday, anniversary, completed trip count, upcoming/recent trip info, lifetime sales and income, and tags. You can also filter by things like "has birthday in the next 30 days" or "has trip in the next 30 days."
In Commissions: individual commission payments with full advisor/agency/host income breakdowns, useful for reconciliation and payout prep.
If you need a field that isn't available, that's great feedback. Let us know and we'll see if we can add it.
