AI Notetaker, AI Chat, and AI Data Privacy

Tern does not use your data to train AI models. Here is what you should know:

Your itineraries and client data: These belong to you. They are not shared with other advisors or used to improve AI models. They are only used to answer your own questions when you use AI Chat.

AI Notetaker: Audio and video from your calls are processed to generate a transcript and summary, then deleted. They are not stored.

AI Chat: Only the information relevant to answering your question is passed to the AI. Your data is not stored in the AI between sessions.

AI Chat searches your notes and CRM records to answer your question. It does not generate answers from general knowledge or make things up.

When you ask a question, Tern searches your actual data, such as your notes, contact profiles, and trip records, and pulls the answer from what's there. You can watch it work in real time, and if it's looking at the wrong contact or trip, you can correct it in the conversation.

Your data is never used to train AI models. Tern has contracts with its model providers that explicitly prohibit this. Your client data stays yours.

If AI Chat responds with something like "I can only read and search notes, I'm not able to help with that," it means the question is outside what the feature is built to do.

AI Chat is designed specifically to answer questions about your notes and CRM data. It cannot answer general travel knowledge questions, take actions in Tern, or tell you how Tern features work.

Common requests that will return this message:

  • General knowledge questions not tied to a client ("What's the best time to visit Japan?")

  • AI Chat can answer questions about your notes and CRM, and can take actions like creating or updating records and drafting emails (you confirm before anything is saved or sent).

  • Questions about how Tern features work

If you need help with how to use Tern, open the Help menu from anywhere in the app.

AI Assist: Content you paste into AI Assist is used to parse and structure the activity or itinerary you are building. It is not stored or used for training.

All AI features operate under enterprise data protection agreements. Sensitive fields like passport information, payment details, and commission data are never sent to the AI.
