How to Share a Trip With Your Client and How They Access It

Once you finish building a trip, you publish it and share a link so your client can view their itinerary, approve options, and authorize payments. This article covers what to do next.

Publish the trip

Publishing makes the current itinerary available at a shareable link. Your client sees only what you have published, so build and review the trip first, then publish when you are ready to share.

To publish:

  1. Open the trip you want to share.

  2. Confirm the itinerary is complete.

  3. Click Preview at the top right of the itinerary to see how it will look to your client. To change the look, update your branding in Settings > Branding, or the header style and font in the itinerary settings.

  4. Publish the trip.

  5. When prompted, choose to send your client an email with the itinerary link, or skip the email and share the link yourself.

If you are collecting payment, authorization options appear to your client only after you have narrowed the trip to a single itinerary. Once you publish, any payments that are ready for authorization appear for your client the next time they open the trip.

Share the itinerary link

You have two ways to get the trip to your client:

  • Send it through Tern when you publish. Tern emails your client a link to the itinerary.

  • Copy the itinerary link and send it yourself through your own email or messaging.

To approve options or authorize payments, your client needs to be added as a traveler on the trip with Full Access, and the email on the trip must match the email they use to log in. The link on its own does not grant these actions.

What your client sees the first time

When your client opens the link for the first time:

  1. They select an available action, such as Approve, Select Preferences, or Authorize Payments.

  2. They enter their email address and select Continue.

  3. Tern sends them a confirmation code by email.

  4. They select Sign In Now in that email, or copy the code into their browser tab.

  5. They continue with the action you shared.

Some clients find the confirmation code step confusing the first time. To make future visits easier, your client can set a password or sign in with Google during that first login. After that, they sign in with their email and password and skip the code.

Do your clients need the Tern for Travelers app?

No. Your client can view the full itinerary in any web browser, and the web view looks the same as the app. The Tern for Travelers app is optional and is useful for clients who want their trip on their phone or offline access while traveling.

Common Questions

Q: Do my clients have to download an app to see their trip?

A: No. The itinerary opens in any web browser. The app is optional.

Q: My client opened the link but was asked for a code instead of seeing the trip. Is that normal?

A: Yes. The first time a client accesses a trip, Tern confirms their identity with a confirmation code sent to their email. If they set a password during that first login, they can skip the code next time.

Q: Can I send the itinerary link to myself and forward it to my client?

A: Yes, you can copy the link and share it however you like. To approve options or authorize payments, your client still needs to be an active traveler on the trip with Full Access, using the email on file.

Q: Will my clients be notified when I add them to a trip or publish it?

A: Adding a traveler to a trip does not notify them. Your client is not contacted until you share the itinerary link with them, either by sending it through Tern when you publish or by copying the link and sending it yourself.

This means you can build, add travelers, and publish without your client receiving anything. They get access only when you share the link. Once the trip is published and shared, any payments that are ready for authorization become visible to your client when they open the trip.

Q: Can I create a landing page for a single client, like a group trip landing page?

A: No. Landing pages are only available for group trips. For a regular trip, the published itinerary does the same job: it's a branded page your client opens in any web browser. It includes:
- Your branding, including your logo, photo and itinerary header style
- The trip cover photo and activity photos
- The full day-by-day itinerary
- For cruises added from the Cruise Library: ship details, deck plans and photos, and port maps

Click Preview to check how it looks, then publish and share the itinerary link. See Previewing your Itineraries and Changing the cover photo on your itinerary.

If you're selling the trip to several separate travelers, use a group trip instead. See Building a Landing Page for Your Group Trip.
