How to import ALG Vacations reservations into Tern

Step-by-step guide to connecting your ALGV account and importing ALGV reservations into Tern trips, including the data sharing agreement and chat import.

This article shows you how to connect your agency's ALGV account and import ALGV reservations directly into Tern trips.

Before you start

  • You need your agency's VAX ID.

  • Your agency must have an approved data sharing agreement with ALG Vacations. If your agency hasn't completed one yet, you'll be prompted to submit it during setup (see step 2).

Connect your ALGV account

  1. Go to the Integrations tab and select ALGV.

    1. Enter your agency's VAX Number. If your agency has not completed the data sharing agreement, a pre-filled form will appear. Review the information and click Submit. The form goes to the ALG Vacations team, and they will contact you once it's approved. You cannot connect or import reservations until the agreement is approved.

  2. Click Connect. Once your agency's agreement is approved, anyone at your agency with that VAX ID can connect their own Tern account the same way.

Import a reservation

You can import from the Trips page or from chat.

From Trips

  1. Go to Trips and select Import from ALGV.

    1. Enter your ALGV reservation number.

  2. Review the import and click Accept. Tern pulls in the package details, bookings and payments on the reservation. Check that the trip name and travelers are correct, and adjust them if needed.

From chat

  1. Open chat and ask Tern to import your reservation. For example: "Import ALGV reservation 12345678 as a new trip."

  2. Review the import and accept it. Confirm the travelers were added to the trip. If a traveler is missing, add them from the trip's traveler list.

Update a reservation

If you have already created your itinerary in Tern but want to update it with confirmation and payment details you can use chat to update your ALGV reservation.

  1. Open chat from your existing trip and ask Tern to update your reservation. For example: "Update ALGV reservation 12345678."

  2. Review and confirm any suggested updates

  3. Accept any updates that make sense for your trip.

What Tern imports

When you import an ALGV reservation, Tern brings in:

  • Reservation details. The package, bookings, travel insurance and included items.

    • Resort fees: these come in as a part of the description of the hotel and not a part of the total cost or bookings

  • Supplier. The supplier is added to each booking.

  • Payments made. Payments already applied to the reservation, like a deposit.

    • Any packages with payments made will be marked as booked.

  • Outstanding payments due. Remaining balances and what's still owed.

Build out the trip

An imported trip works like any other Tern trip. From here you can:

  • Add a cover photo.

  • Ask chat for tour recommendations and add them to the trip as optional items.

  • Add a destination guide and packing list.

  • Review pricing, including the package and any optional tours, before sending for authorization.

  • Share the trip with your traveler.

FAQ

You entered a VAX ID and see a data sharing agreement form

Your agency hasn't completed ALGV's data sharing agreement. Submit the pre-filled form and wait for the ALG Vacations team to confirm approval. You cannot import reservations until then.

A traveler on the reservation wasn't added to the trip

We don't add travelers to trips since the contact in ALGV systems usually uses the advisors email. Add the traveler manually from the trip's traveler list, or ask chat to add them.
