Introduction to Tern's AI Assist Feature

Learn how to quickly get trip details from email or other websites into Tern using AI Assist features!

Streamline your trip planning with Tern's AI Assist features. Describe activities in any format, and watch as our system effortlessly organizes the details into the appropriate fields, cutting down the time spent on filling out trip information.


AI Assist for Activities

You can quickly populate activity fields using AI Assist by following the steps below:

  1. Create or open an activity.

  2. Paste or type in the content you want to add to the activity in the AI Assist input

  3. Click the Submit button. Note: It may take a minute to process your content.

Once the parsed content is ready, give it a review:

The parsed content will be displayed once it’s finished processing

  • If you don't want all of the parsed content added to your activity, click “Discard”.

    • Depending on what was incorrect, you can try adjusting your input to get better results. Check out the best practices section below!

  • If it looks good, click “Add” to update the activity with the new information.

    • Voila! Your activity should now be updated with the parsed content!

    • Note: This content will overwrite any previous data, so make sure you have thoroughly reviewed before adding.

Example use cases for filling out activity details

  • Import a tour from a platform like Viator or Project Expedition: Open the website for the tour you want to bring in, select all relevant content on the page, copy it, then paste it into the AI Assist input. AI Assist will pull out all the relevant details into the right Tern field. No need to copy, paste, and retype details into multiple inputs over and over again.

  • Quickly filling out activity details based on rough notes: Tell AI Assist what you want to include in your own words, similar to how you might describe what you want to an assistant. As an example, let's say you want to add a rental car to an itinerary. Just type in what you want like "Rental car from Hertz May 15 - 19, picking up and dropping off at SFO. Midsize SUV or similar". AI Assist will take care of filling out all the relevant fields for you!

  • Use GDS syntax to populate activity fields: For the GDS pros out there, AI Assist has a pretty good understanding of how to translate GDS inputs into activities in Tern. You can describe what you want with GDS syntax and have AI Assist translate that into the right fields directly in Tern.


AI Assist for Itineraries

You can quickly build out itineraries using AI Assist by following the steps below:

  1. Create or open a trip, and click on the Itinerary tab.

  2. Upload a PDF of an itinerary using the button with the paperclip icon, or paste in itinerary content you want to import

  3. To submit text content, click the Submit button.

  4. You'll see a loading state while AI Assist processes your content. Depending on the itinerary this can take up to five minutes to complete. AI Assist will keep processing if you leave the page, and will notify you when it's finished with this message at the bottom of your screen.

Once the parsed content is ready, give it a review:

A preview of the parsed content will be displayed once it’s finished processing. To view the full details, click the "Review Details" button.

This will open a modal displaying all of the parsed content you can add to your itinerary:

  • If you don't want all of the parsed content added to your itinerary, click “Discard”.

    • Depending on what was incorrect, you can try adjusting your input to get better results. Check out the best practices section below!

  • If it looks good, click “Add” to add the parsed content to your itinerary.

    • Voila! Your itinerary should now be filled out with the parsed content!

Handling long itineraries

When AI Assist is creating or parsing content to add to an itinerary, it can only generate a certain amount of content. This typically equates to around 10-15 activities, depending on the detail of each activity.

If you run into an error saying the itinerary was too long, try breaking it up into smaller chunks of around 10 activities at a time. To break up content in a PDF, try copying and pasting in smaller chunks instead of uploading the full PDF.


Best practices for using AI Assist:

  • Pulling in content from a website

    • Limit irrelevant text: When copying and pasting content from a webpage, try limiting unnecessary or irrelevant text. AI Assist can sometimes get confused if there's a lot of irrelevant details included along with the important stuff.

    • Paste in content instead of a link when importing activities: For now, AI Assist for activities is unable to open a webpage to pull out relevant content, but it might make some guesses based on the URL you paste in. Instead of pasting the URL, try copying and pasting the webpage content directly into the AI Assist input.

  • Working with dates

    • Be as specific as possible: AI Assist tries to fill in as many details as possible, including all parts of a date and time like a year, timezone, etc. If you don't specify those details, AI Assist might make up an incorrect one.

  • Play around and experiment: In general, if you're not getting the results you'd like, try adjusting your input. Ask yourself what AI Assist might be missing, and see if you get better results by including those details. Often AI tools like AI Assist can produce very different results by tweaking just a few words.


Email Parsing

Effortlessly pull trip details directly from your emails by following these steps:

  1. Open a synced email: Find and open the email in Tern.

    1. If you don't have email syncing set up, follow these steps first.

  2. Associate it to a trip: Use the “Related Content” panel on the right to link the email to the appropriate trip. If the panel is not visible, open it by clicking the label icon in the header.

  3. Select the related activity: Link the email to an existing or new activity. You’ll see a brief loading state as we pull out relevant content.

Once the parsed content is ready, give it a review:

The parsed content will be displayed once it’s finished processing

  • If you don't want all of the parsed content added to your activity, click “Discard”.

  • If it looks good, click “Add” to update the activity with the new information.

    • Voila! Your activity should now be updated with the parsed content! You can quickly open the activity by clicking its title.

    • Note: This content will overwrite any previous data, so make sure you have thoroughly reviewed before adding.
