Quick Submit Booking - in closed beta

How to submit a booking to your agency for payment without building out a full trip first, using Tern's Quick Submit Booking form.

Overview

Quick Submit Booking lets you submit a booking to get paid without building out an entire trip first. It's useful if you're using a different tool for trip planning but need to submit bookings in Tern, or if you just want a faster way to log a booking.

Steps

  1. Go to your dashboard and click "Create Booking."
    It's in the "Create" section on the right hand side.

  2. Select your booking supplier.

  3. Select the booking category and type.
    For example, choose "Activity" as the type.

  4. Enter the confirmation number.

  5. Add traveler(s).
    Select an existing contact, or use one-click create if the traveler doesn't exist yet in Tern. One-click create adds the traveler in the background and makes them easier to select next time, with more consistent reporting tied to that contact.

  6. Enter the travel start and end dates, and the total cost of the booking.

  7. Add a trip.
    Select an existing trip, or use one-click create if it doesn't exist yet. If you add the booking to an existing trip, Tern adds the booking to that trip and extends the trip's dates if the booking falls outside the trip's current date range.

  8. Choose the booking type: Standard or Group.
    If you choose "Standard," no additional fields appear. If you choose "Group," you must also enter a group number and group name to submit the booking.

  9. Enter the expected commission, expected date, and commission type.
    Note: Some commission types, like personal travel, require supporting documentation before you can submit.

  10. Submit the booking.
    You have four options:

    • Submit: Submits the booking and closes the form.

    • Submit and create related booking: Submits the booking and opens a new form with the same trip. If it's a group booking, the group number and name also carry over. All other fields are cleared.

    • Submit and duplicate: Submits the booking and opens a new form with all the same information, except the confirmation number, total cost, and expected commission are cleared so you can adjust those details before submitting again.

    • Submit and start new booking: Submits the booking and opens a completely blank form.

Required fields vary by agency policy. If you try to submit without a required field filled in, Tern shows a warning and blocks submission until you complete it.
