Overview
Supplier profiles give your advisors one place to find everything they need about a supplier: who to contact, how to get a login, and what resources and policies apply.
Before You Start
To add or edit agency suppliers, you need the Manage suppliers permission. Agency owners and admins have it by default. The agency owner can turn it off for an admin in that admin’s permissions, under Agency back office.
If you don’t have the permission, you can view suppliers but can’t add or edit them. The New supplier button and the edit options are hidden. You can still select agency suppliers on bookings.
Advisors can view supplier profiles but can’t edit them.
Creating Your Agency Suppliers
Go to Back Office and open the Suppliers tab.
Click New supplier. These are the suppliers your advisors can select when they make bookings. For step-by-step help, including how to add suppliers you book through a Tern integration, see Managing Agency Suppliers.
Optional: require advisors to select from your agency suppliers. Go to Agency Controls, then Booking Requirements, and turn on the requirement. When this is on, advisors must select an agency supplier on every booking.
Supplier Details
Click a supplier to open its profile. The Details tab shows the supplier’s core information, plus the new options below.
Tags. Add tags to organize your suppliers, such as consortia, cruise, Europe, or luxury. There’s no limit on how many tags a supplier can have. Tags belong to your agency and aren’t shared with sub-agencies.
To create a new tag, go to the supplier list, click Actions, then Manage supplier tags, then New tag. Only agency admins can create tags.
Everyone in your agency can filter and search suppliers by any of your tags.
Preferred partner. Click Edit to mark the supplier as a preferred partner. Use the Why we prefer them box to add a note. Advisors see this note on the supplier profile, so use it to explain why advisors should choose this supplier over similar ones.
Custom fields. Click Edit to add text or checkbox fields to the profile. You can also turn off any core profile field that does not apply to your agency. Only admins can add or remove fields.
Contacts
Add the people your advisors should reach at this supplier, such as a BDM or a department. For each contact, add a name, email, phone, and a note.
Note: Linking these contacts to supplier contacts in your CRM is coming soon. This article will be updated when that is available.
Resources
The Resources tab has two sections.
Login access. Record how advisors get a login with this supplier: self-register or request access. Add the registration link and instructions.
Resources. Add documents, webinars, trainings, promotions, incentives, and similar materials as a file upload or a link. You can set a date when a resource no longer applies to advisors. If you have many resources, pin the most important ones so they appear first.
Policies
The Policies tab is the new home for the supplier’s terms and conditions and cancellation policies. These work the same as before. Only the location changed. When you edit a policy, the change applies to future bookings only. To learn how saved policies fill in on bookings, see Managing Agency Suppliers.
Admin
The Admin tab is visible only to agency admins. Advisors do not see it. Use it to:
Review activity. See every update made to this supplier and which admin made it.
Add admin comments. Leave notes about this supplier that only admins can see.
