Use this guide to connect your agency's suppliers to the corresponding suppliers in your host's library.
Before you start:
- Only for agencies with a host. Mapping matters only for bookings accredited to your host agency. If your agency has no host, or the booking's Accreditation shows your own agency, mapping doesn't apply and won't fix a supplier error.
- Not for integration bookings. If an insurance policy purchased through a Tern integration shows "Ask your agency admin to add [supplier] to [agency]'s supplier list," mapping won't clear it. See Agency Booking Requirements and Integration Bookings.
- Who can do this. Anyone in your agency with permission to edit agency suppliers, usually an agency admin or owner.
- The host supplier must already exist. You can only map to a supplier that's in your host agency's own supplier library. If it isn't there, ask your host agency admin to add it first.
Steps
Go to Library, then select Agency Suppliers. Admins can also open Back office → Suppliers.
Switch to your personal agency if needed. At the top of the page, you'll see your host agency listed by default. If your suppliers were created under your personal agency, select your personal agency from the dropdown to switch views.
Click into the supplier you want to map.
Click "Edit Supplier" in the top right corner.
Find the section titled "Map to host supplier to automatically map existing bookings." In the [Host agency] supplier field, click Select a supplier and search for the matching supplier. Only suppliers in your host's library appear here. If your agency has more than one host, you'll see one field for each host. Your choice saves as soon as you select it.
Click "Save & Close" in the top right corner. The supplier is now mapped to the host supplier.
Common issues
I don't see a host supplier field when I edit the supplier.
The field only appears on suppliers your own agency owns, and only when your agency has a host agency. If you don't see it, check that you switched to your own agency in step 2. If your agency doesn't book under a host, you don't need to map suppliers.
The supplier I need isn't in the host supplier list.
The list only shows suppliers in your host agency's library. Ask your host agency admin to add the supplier, then come back and map it.
I mapped the supplier, but my integration booking still says "Ask your agency admin to add [supplier] to [agency]'s supplier list."
That message on an insurance policy purchased through a Tern integration isn't caused by host mapping. See Agency Booking Requirements and Integration Bookings. If the supplier is already in your agency's list, contact Tern support with a link to the booking.
