Why your booking says "the supplier must be recognized by [host agency]"

How to fix the "must be recognized by [host agency]" error when marking a booking as booked on a host agency's accreditation, and how the two supplier fields on a booking differ.

If you book under a host agency's accreditation and see the error "the supplier must be recognized by [host agency]" when you try to mark a booking as booked, this article explains why and how to fix it.

Why this happens

A booking has two separate supplier fields, and they do different things:

  • Confirmation Details, "Supplier" records who you booked through, for confirmation and record-keeping.

  • Booking Details, "Select the supplier you'll book through" is the field the system checks when you mark the booking as booked. It sits just below the Accreditation dropdown.

When a booking uses a host agency's accreditation, and that host agency requires bookings on its credentials to use a supplier it recognizes, the "Select the supplier you'll book through" field must be set to a supplier the host recognizes. If that field is empty, or set to a supplier the host does not recognize, you see "the supplier must be recognized by [host agency]" and cannot mark the booking as booked.

This is expected behavior. It most often affects advisors at a subagency or affiliate booking under a host agency's accreditation.

A supplier is recognized by the host agency when it is either owned by the host agency, or it is one of your agency's suppliers that has been mapped to the host. If you are unsure which of your suppliers are recognized, your host agency admin can confirm or set up the mapping.

How to fix it

  1. Open the booking and go to the Booking Details section.

  2. Find "Select the supplier you'll book through" just below the Accreditation dropdown. This is a different field from the "Supplier" field in Confirmation Details.

  3. Choose a supplier the host agency recognizes.This is often the same supplier you already selected in Confirmation Details. If you do not see the supplier you need, it may not be recognized by the host agency yet.

  4. Mark the booking as booked.The error clears once a host-recognized supplier is selected.

You'll know it worked when

The "must be recognized by [host agency]" error disappears and the booking moves to Booked.

Common issues

I already picked a supplier, so why the error?
The supplier you picked is likely in the Confirmation Details section, which records who you booked through. The field the system checks is "Select the supplier you'll book through" in the Booking Details section. Set that field as well.

The supplier I need isn't in the list.
The list only shows suppliers the host agency recognizes. If yours is missing, your host agency admin needs to either add it or map your agency's supplier to the host. Contact your host agency admin, and if you're still stuck, contact Tern support.
