Give each form its own tag, and Tern adds that tag every time someone submits the form. Any workflow set to auto-apply on that tag then starts, so each form can kick off its own emails and tasks.
How it works
Every form has a Form settings section with two tag options:
Tag the trip: adds a tag to the trip connected to the submission.
Tag the person who submitted it: adds a tag to the contact record of the person who filled out the form.
When a tag is added, any workflow with an Auto-Apply trigger of Trip tag added or Contact tag added for that tag starts. Because the tag belongs to one form, the workflow runs only for that form's submissions.
This works for new and existing contacts. If someone already in your contacts submits the form, they still get the tag and the workflow still starts.
Before you start
Create the tag you want to use, for example "Ireland interest form." Add it to any trip or contact once so it shows up in your tag lists. You can't create a new tag from the form or workflow settings.
Create any emails the workflow will send in Library > Emails.
Step 1: Set the tag on your form
Go to Library > Forms and open your form.
At the top of the Editor tab, find Form settings.
Choose a tag under Tag the person who submitted it, Tag the trip, or both.
Step 2: Create a workflow that starts on that tag
Go to Library > Workflows and click New.
Enter a Workflow Name. Select Contact if you used Tag the person who submitted it, or Trip if you used Tag the trip. Click Create Workflow.
Scroll to Settings and find Auto-Apply.
Set Trigger to Contact tag added or Trip tag added.
Set Tag to the same tag you chose on the form.
Turn on Enable auto-apply.
Step 3: Add your automations and tasks
In the workflow, click Add Automation > New Automation, or Add Task for a task.
Turn on Set automation to active when applied at the top of the automation. If this is off, the automation is added but never runs.
To send something right away, set Event to Automation Added and Timing to Immediately.
Under Actions, choose what happens, for example Send Email.
Click Save & Close on the automation, then Save & Close on the workflow.
You're all set! The next time someone submits this form, Tern tags them (or their trip) and starts the workflow.
When the trip tag is applied
The trip tag is applied only when the submission is connected to a trip in one of these ways:
Trip Request form: the submission creates a new trip, and that trip is tagged.
Group trip signup form: the submission adds the traveler to the group trip, and their trip is tagged.
Required form on a trip: the client fills out the form from the trip's itinerary, and that trip is tagged.
The trip tag is not applied in these cases:
The form was inserted into an email sent from a trip. The response is saved to that trip, but the trip is not tagged.
In both cases, the person who submitted the form still gets the contact tag. To start a workflow from a form you send from a trip, add the form to the trip as a required form, or use Tag the person who submitted it with a Contact workflow.
Who gets the contact tag
Only the person who submitted the form gets the contact tag. Other travelers listed on the form are not tagged.
Test before going live
Open the form's link in a private browser window and submit it with an email address you own. Check that the tag appears on the contact (or trip) and that the workflow's automations appear on its Automations tab.
Common issues
The workflow didn't start
Check that the workflow's Auto-Apply Tag is the same tag you chose on the form.
Check that Enable auto-apply is turned on in the workflow.
Check that Set automation to active when applied is turned on in each automation.
The workflow didn't run again when someone submitted the form a second time
A workflow is added to each contact or trip only once. If the contact or trip already has this workflow, submitting the form again does not run it again. This is true even if you remove the tag and the form adds it back.
A trip workflow didn't start after I sent the form from a trip
Forms inserted into an email from a trip do not tag the trip. Add the form to the trip as a required form, or use Tag the person who submitted it with a Contact workflow.
