Signature Integration Overview

How to enable your Signature Integration

Tern integrates directly with Signature Travel Network to help streamline your client marketing and keep client data in sync. Here’s everything you need to know to get started.

Integration Setup

Enabling Integration

If you are a Signature agency owner and wish to convert to Tern CRM

Start here: Reach out to Signature to get your CRM ID using this form

  1. Go to the Integrations tab within your agency settings in Tern (note: only available to agency admins)

  2. Click Connect next to Signature Travel Network

  3. Enter your Signature CRM ID to locate your agency (this will be provided by Signature)

  4. Click Submit and Confirm your agency name is correct

Your integration is now Active, but no data will sync until your advisors have been matched in SigNet. Move on to the Advisor Matching section of the integration setup below!

Before your advisors are matched in SigNet you will see the following message on any contacts shared with your agency

If an agents' contact is not shared with the agency it will fail to sync to Signature and you will see the following message. Make sure any contact that you want synced to Signature is shared with your agency.

Matching Advisors

If you are a member of a Host agency then your Host will need to complete the advisor matching step

  1. Navigate to SigNet and follow the instructions provided by Signature

  2. Once you have selected a match for your advisor is will take about 10 minutes to see the active Signature Field on your shared agency contacts.

  3. Only active Tern agency members will be able to be matched, not those that are inactive or invited.

Syncing Contacts

  • Once advisors are matched:

    • All shared contacts they own will be synced to Signature as persons.

    • Signature will then run a nightly client match to turn those persons into clients.

    • Until the client match completes, you will see a blank Signature ID in Tern. Once matched, the Signature ID will be populated automatically.

  • New Tern contacts created for a matched advisor follow the same flow and are created as a person in Signature, then matched to a client during the nightly process.

Note: A valid email address is required to match a person as a Signature Client. A Signature Client ID is required to use email marketing for a contact.

  • The Signature E-Marketing Center client sync runs once overnight, but the timing depends on other processes that may be running simultaneously. Updates and newly created clients should appear in Signature E-Marketing Center by 9 AM PST the following day. However, in some cases, it may take up to 24 hours for updates to be visible.

  • You should expect updates by 9 AM PST.

  • Synced Fields from Tern

    • Primary email address

    • Primary address

    • Primary phone

    • Signature preferences

    • Signature marketing permission preferences

Signature Contact Tab

Once advisor matching is complete, your contacts will display a new Signature tab. This is where you can:

  • View the Signature sync status

  • Update Marketing Codes

  • Manage Marketing Permission Preferences

Signature Marketing Preferences

To edit preferences:

  1. Review the marketing preferences on the client

  2. Click edit to make changes to preferences

Marketing Permission Preferences

  1. Review Marketing Permission preferences

  2. Click edit to make adjustments to marketing preferences

Note: the following requirements must be met for each marketing consent category to apply.

  • Email marketing requires a valid email and Signature Client match

  • Print marketing requires a valid address

Signature Created Contacts

When a contact is created in Signature they will also be created in Tern. You will see this reflected in the activity for the contact. It could take about 10 minutes for the contact to be created in Tern.

Signature Updated Contacts

When a contact is updated in Signature they will also be updated in Tern. You will see this reflected in the activity for the contact. It could take about 10 minutes for the updated to be created in Tern.

Bulk Updates and Reporting

Updating Marketing Codes and Permissions in Bulk

You can update Signature marketing codes and marketing permissions across many contacts at once, straight from a report - no spreadsheet to fill out or upload. From a report on the Reporting page, select the contacts you want, open the Update consortia preferences action, and choose Signature. From there you can add or remove marketing codes and set email, phone, and direct-mail consent for the whole group in one go.

Changes apply in Tern right away and sync to Signature for contacts whose advisor is matched.

Viewing Your Signature Data

Tern provides two reports to review Signature marketing preferences and sync status:

  1. Clients shared with your agency, including Signature info (agency admin only)

  2. Your clients, including Signature info (all users)
