Background
Documentation requirements let you collect proof, like a supplier booking confirmation, before approving commission on certain booking types.
Setting Up a Documentation Requirement
Only agency owners and admins can configure documentation requirements. They can be added to any commission type.
Go to Back Office > Commission Rules
Open the commission type you want to require documentation for
For example, Personal Travel.Turn on "Require documentation"
Add documentation instructions
These instructions appear to agents when they submit a booking. Be specific about what you need. For example: "Attach a supplier booking confirmation with your name listed as a traveler."Configure the split for the commission type and save.
What Agents See When Submitting a Booking
When an agent submits a booking and selects a commission type that requires documentation, they will see the documentation requirement when marking the booking as booked.
Mark the booking as booked
Add a file when prompted
The agent will see your documentation instructions here.Finish marking the booking as booked
Note: If a commission type requires documentation, the agent cannot mark the booking as booked without attaching a file.
Reviewing Documentation During Reconciliation
When you reconcile commission for a booking with a documentation requirement, you will see the commission type and the submitted documentation.
If the documentation meets your requirements, confirm the booking at the configured split.
If the documentation does not meet your requirements, change the commission type. For example, you could change it from Personal Travel to a standard agent split.
Documentation Requirements and AI Reconciliation
If AI Reconciliation matches a statement line to a booking with a documentation requirement, the booking is automatically flagged to the "Needs Review" section. You must review bookings in this section before they are added to the reconciled amount approved for payout.
