Agency Tags

How agency admins and owners create, apply, and manage agency-level tags on trips and contacts shared with the agency, and how agency tags differ from individual tags.

Agency tags let your whole agency organize shared trips and contacts under one consistent set of labels.

What agency tags do

Individual tags belong to a single advisor's account. Agency tags belong to the agency. Once an agency admin or owner creates an agency tag, it can be applied to any trip or contact shared with the agency, and everyone at the agency sees the same tag on that record.

Use agency tags for anything the agency tracks across advisors, like referral tiers, partner sources, or campaign attribution.

Who can use them

Agency tags are available to all agencies with back office access.

  • Agency admins and owners can create, edit, apply, remove, and delete agency tags.

  • Advisors can see agency tags on trips and contacts shared with them. They cannot add, edit, or remove them.

Key terms

Agency tag: A tag created in the back office and owned by the agency. Shared with everyone at the agency.

Individual tag: A tag created in an advisor's own account under Business Settings > Tags. Not shared with the agency.

Shared with the agency: A trip or contact an advisor has shared with the agency. Agency tags can only be applied to shared records.

Creating an agency tag

  1. Go to the back office.

  2. Click Tags. This section is visible to agency admins and owners.

  3. Click + New Tag.

  4. Name the tag. Use a clear, specific name that will make sense to everyone at the agency, like "Referral Level 1" or "Partner Booking."

  5. Click Save.

You'll know it worked when the tag appears in the Tags list in the back office and becomes available on trips and contacts shared with the agency.

You can also create an agency tag while you are tagging a record. Open a shared trip or contact, open the agency tag editor, and add a new agency tag from there.

Applying an agency tag to a trip

  1. Go to Trips.

  2. Open Shared with me.

  3. Open the trip you want to tag.

  4. Add the agency tag in the tag section of the trip.

Any agency admin or owner can add or remove that tag later. The advisor who owns the trip will see it but cannot change it.

Applying an agency tag to a contact

  1. Go to Contacts.

  2. Open the contact you want to tag.

  3. Edit the agency tags on the contact.

  4. Select an existing agency tag, or add a new one.

Filtering by agency tags in commission reconciliation

  1. Go to the back office.

  2. Click Commission.

  3. Open the filters and turn on Include tags.

  4. Select the agency tag you want to filter by.

Filtering by an agency tag shows all bookings associated with the trips carrying that tag. Contacts can be filtered the same way.

Deleting an agency tag

Agency admins and owners can delete an agency tag from the Tags section in the back office.

Note: Deleting an agency tag removes it from every trip and contact it was applied to. This cannot be undone.

What advisors see

If you are an advisor at an agency, agency tags behave differently from your own tags:

  • Agency tags appear on your trips and contacts in a locked view. You cannot edit or remove them.

  • Agency tags do not appear in your tag management.

  • You cannot search for an agency tag when applying tags to a trip or contact.

  • You cannot filter your trips or contacts by agency tags.

If you need an agency tag added, changed, or removed, contact an admin or owner at your agency.

When agency sharing is removed

If agency sharing is removed from a trip, all agency tags on that trip are removed at the same time. The same applies to contacts. If a contact is no longer shared with the agency, its agency tags are removed.

To reapply an agency tag, share the trip or contact with the agency again, then add the tag.

Limitations

  • Agency tags cannot be used as workflow triggers. Workflows only trigger on individual tags. If you need a tag to fire an automation, use an individual tag.

  • Agency tags only apply to trips and contacts shared with the agency. They cannot be applied to a record that is not shared.

  • Advisors and agency admins cannot filter by agency tags. Filtering by agency tag is available to agency admins and owners in the back office.
