TPI Advisors: What Happens to Bookings You Already Have in Tern

Already had bookings in Tern before joining TPI? What to do with each one, depending on its accreditation, and what happens at migration.

For TPI advisors and agency owners who already had bookings in Tern before joining TPI, or logged bookings before Early Access.

Start by checking each booking's accreditation

Every booking in Tern has an accreditation, and it decides whether the booking syncs to TPISuitcase. What you should do depends on which of these four groups a booking is in.

1. Booked under the Travel Planners International accreditation, and synced

Do nothing. When TPI migrates its data this winter, Tern will match these with the same booking in TPISuitcase.

2. Booked under an accreditation you created yourself with TPI's IATA number

Don't move or re-enter them. Tern moves these to the Travel Planners International accreditation for you. Tern assumes they're already in TPISuitcase, so it blocks the sync to keep them from showing up twice. If you'd like them moved sooner, contact Tern support.

In the meantime, don't use that accreditation for new bookings. Once your bookings have moved, you can remove it under Back Office → Agency Details → Edit Details.

3. Booked as independent, or with no accreditation, but they really belong to TPI

You may have done this to avoid the sync, or because you were only using Tern to manage trips. These bookings should be moved to the Travel Planners International accreditation so they count toward TPI's reporting and can be matched at migration.

If you see the option to move them yourself: open the ⋯ menu on your bookings list and choose Move bookings to Travel Planners International. Eligible bookings appear in the list. Select the ones that belong under TPI and confirm the move.

If you don't see that option: contact Tern support, and we'll move the bookings for you.

Bookings moved this way never sync to TPISuitcase, because Tern assumes they're already there. That prevents double entry.

If a booking isn't eligible to move:

4. Independent bookings that genuinely aren't TPI business

Leave them as they are. They weren't recorded in TPISuitcase and won't sync, because they aren't on the TPI accreditation.

What happens to duplicates at migration?

When TPI migrates its data, Tern will merge bookings it can match with confidence: the same confirmation number and supplier. Anything less certain is shown to you for review, with a confidence level:

  • Medium: same confirmation number, different supplier

  • Low: same primary traveler, travel dates, and a very similar price

Tern won't catch everything automatically, so expect to spend some time reviewing and cleaning up duplicates. Tern will share guidance on how to do that efficiently.

I already imported my historical bookings. What now?

They'll be duplicated when TPI migrates its data, which brings over your booking and commission history from December 2021 onward. Tern's merge tools will handle the clear matches, and you'll review the rest.

  • If you imported them to reconcile commission: the AI Commission Reconciliation matching step is only needed for a few months. After TPI's winter transition, your statements arrive already reconciled from TPI. You'll still use the agent payout process.

  • If your agency pays out team members: wherever TPI's records show a commission paid to your agency, Tern will also mark it as paid out to your advisors, dated the same day TPI paid you and using the back-dated commission splits you set up. See Commission Split Set Up for TPI Advisors.

Unless it's truly necessary, we don't recommend importing historical bookings before the transition.
