How to manage group travel in Tern

Best practices for managing groups in Tern before our groups product launches in 2024.

Tern will be building a formal groups product in 2024. In the meantime, this article is meant to provide some tips and tricks for how to manage groups leading up to that. If you have ideas, thoughts, or feedback for what a groups product should entail please let us know using the messaging tool!

Using Itinerary Templates

One of the key features to streamline your group trip planning is the use of templates and saved itineraries. Here's how you can do it:

  1. Access the Library: To begin, navigate to the Library tab on the top toolbar.

  2. Create a New Template: Click on "Itineraries" and select "New Template." Give your template a name, such as "Your Family Wedding in Cancun," and specify the average number of days for the trip, e.g., seven.

  3. Add Trip Details: Now, it's time to fill in the trip details. You can start by adding an enticing cover photo and provide essential information about your group trip.

  4. Design Your Itinerary: On the left side of the screen, expand the itinerary view. Here, you can begin building your itinerary by dragging and dropping various activities and accommodations. For instance, you can select lodging options like "Moon Palace" and set room assignments.

  5. Room Options: If your group trip involves multiple room choices, utilize the "Option Block" feature. This allows you to present various room options and their details, including pricing.

  6. Pricing: Customize the pricing for each room or activity by clicking on "Book and Pricing." You can specify the pricing details according to your requirements.

  7. Add Additional Details: Continue to flesh out your trip by including activities, wedding information, or any other relevant details specific to your group's needs.

Remember, you have the flexibility to design your trip the way you envision it for each subgroup within your group.

Creating a New Trip using the Trip Template

Once your template is ready, you can create a new trip based on it. Here's how:

  1. Create a New Trip: Head to the "Trips" section and select "Create a New Trip." Name your trip, choose the dates, and hit "Create Trip."

  2. Import Your Template: When you access the itinerary tab for your newly created trip, you can drag and drop the template you've designed for your group, in this example, the "Cancun Wedding Group."

Tern will automatically populate your trip with the predefined structure, saving you time and effort. You can then customize it further as needed, such as adding custom flights or extending the stay for some members.

Managing Multiple Group Trips

If you're handling multiple group trips simultaneously, Tern offers features to help you stay organized:

  1. Create Status Columns: To keep track of the status of different trips, you can create custom columns. Access your trip settings via the settings menu, click on "Edit," and set up your desired status columns.
