Who Sees Which Reports
Most reports come in two versions:
Your reports ("Your Sales and Expected Commission," "Your Clients" and so on) show only bookings, clients and trips you own. Every advisor has them.
Agency reports ("Agency Sales and Expected Commission," "Agency Clients" and so on) cover everyone in your agency. Only agency owners and admins see them.
If you're an agency owner or admin who also books trips, use your reports for your own business, or filter an agency report by Advisor Full Name.
Report Builder and AI Assist work the same way: you see your own data, and agency owners and admins see the agency's.
Dates
Booking date: the booking's Date booked. It's set to today when you mark a booking Booked, and you can change it. It isn't when the trip was created. Sales, bookings and KPIs count by booking date.
Travel start and end date: when the travel begins and ends.
Expected commission date: when you expect the supplier to pay. Your agency's payout settings can fill it in.
MTD and YTD: month to date (the 1st through today) and year to date (Jan 1 through today).
Sales
Gross sales: what travelers pay for booked bookings. Canceled bookings don't count.
Room nights: rooms × nights for booked lodging, including lodging in a package.
Product type: Lodging, Flight, Cruise, Package, Travel Insurance, Information, Options or Other Service. Activities and transfers show their subtype, or Activity or Other Transfer if none is set. Imported bookings show Booking Import or GDS Import.
Supplier: the supplier on the booking, not your agency's preferred supplier list. To fix a report, fix the booking.
Booking location: where the booking takes place: the property, else the activity's start location, else the port. A package lists every place in it.
Client Residence State: where the client lives. Use this, not Booking US State, for Seller of Travel reporting.
Commission
Expected commission: the commission entered on a booked booking, counted by its expected commission date.
Received commission: commission a supplier paid that's been logged in Tern, by your agency or by you if you're independent. Money your agency pays you is a payout.
Income: your share. Your reports show your share after your agency's split. Agency reports show the full commission and Agency Income, the agency's share.
Adjustments: Bonus, Credit, Fee, Override, Recall, Tax and Other. They show in received commission reports, not in sales.
Commission Status
Upcoming: nothing received yet, and the expected commission date hasn't passed or isn't set.
Overdue: nothing received yet, and the expected commission date has passed.
Partial: some received, and the booking is still expecting more.
Received: received, and nothing more expected.
Canceled or Non-commissionable: not owed.
Note: A booking with no expected commission date never turns Overdue. Your Sales and Expected Commission lists traveled bookings that are missing one, so you can fill them in.
Payout Status
Paid: paid out.
Ready: can be paid now.
On hold: the release date is in the future, or a payout it depends on isn't paid yet.
Clients and Trips
Your clients: contacts you own. Agency clients: contacts shared with the agency, whoever owns them.
VIP clients: a ranking by lifetime gross sales, not a setting.
Dormant clients: last completed trip ended more than 180 days ago. Clients who've never traveled aren't included.
Upcoming birthdays: birthdays in the next 30 days.
Stale trip: not canceled, traveling or traveled, no booked bookings, and no updates in more than 14 days.
Trip stage: Planning, Stale, Booked, Traveling, Traveled or Canceled.
Proposal rate: share of leads published to the client. Booked rate: share of leads with a booking. Client approval rate: share of proposals the client approved.
