Archiving lets you keep past or inactive clients in Tern without cluttering your day-to-day views.
What It Does
Archiving hides a contact from your everyday lists, search results, and autocomplete, while keeping all of their information, trips, and history intact. It's the right choice for clients you no longer work with actively but don't want to delete. Unlike deleting, archiving is fully reversible.
How It Works
An archived contact still exists in Tern with all of its data. It's simply filtered out of the places you'd normally see it, and its automations are paused so it stops receiving scheduled emails and tasks. You can bring an archived contact back into your active views at any time by unarchiving it.
Who Can Use It
Available to all advisors.
How to Archive a Contact
Open the contact you want to archive.
Click the 3-dot menu in the top right of the contact's profile.
Select "Archive contact." The contact is archived right away and disappears from your active contact list.
How to Unarchive a Contact
Go to your Contacts list.
Check "Include archived" in the filters to show archived contacts alongside your active ones.
Open the archived contact, click the 3-dot menu, and select "Unarchive contact." The contact returns to your active list, search, and autocomplete.
What Happens When a Contact Is Archived
Hidden from lists, search, and autocomplete. Archived contacts don't appear in your contact list, in global search, or when you're adding a contact to a trip. To see them, check "Include archived" in the Contacts filters.
Automations are paused. Any active workflow automations on the contact are set to inactive and stop running, so the contact won't get scheduled emails or tasks while archived.
Consortium CRM sync. If you sync contacts to a consortium CRM (Virtuoso, Travel Leaders, or Signature), archiving marks the contact as inactive in that CRM as well.
Their data is preserved. Trips, notes, forms, and history stay exactly as they were.
Importing Archived Contacts
When you import from TRAMS, profiles marked as inactive in TRAMS are imported into Tern as archived. Their automations stay paused on import, so no scheduled emails or tasks fire for them until you unarchive.
Common Issues
I can't find a contact I know exists.
It may be archived. Go to your Contacts list and check "Include archived" in the filters to show it, then open it and unarchive it if needed.
An archived contact stopped getting workflow emails.
This is expected. Automations are paused while a contact is archived. Unarchive the contact to resume working with them.
