Email Template: Creating Your Tern Account

Companion Help Documentation for Techy Tuesday

We all know Email Templates save a lot of time, so here's a freebie for you! This is an example of an email template to use when introducing your clients to Tern as they set up their traveler account.

Workflow context: First, make sure that your clients are added as travelers to your trip before sharing your proposal with said clients. Next, we encourage you to prompt your clients to sign up for Tern while viewing their Proposal or Itinerary. This will ensure a streamlined sign-up process for your clients, and should immediately link them to their trip.

Subject: Next Steps: Create a Tern account and approve your itinerary!

Dear [Client],

I am thrilled to have the opportunity to share your personalized proposal with you!

Now, I want to make sure that you have all the necessary information to easily approve your vacation proposal and securely authorize payments. To make the process as smooth as possible, we use a secure system through Tern (the amazing technology that my team utilizes to create your detailed itinerary!).

To help you navigate through the process, I have put together a step-by-step guide on how to create an account on Tern. This will ensure that your travel information remains safe and easily accessible.

But first, Why Create an Account?

We understand the hesitation around managing yet another account and remembering another password. However, when it comes to travel, safeguarding sensitive data like passport information and confirmation numbers is crucial. Creating an account with Tern helps us ensure the security of your information, giving you peace of mind throughout your journey.

There are two ways to sign up for a Tern account: Website and the app. However, I’m going to recommend creating an account first on the web, and then downloading the app - it’s much easier in my experience!

Create an Account while viewing your Proposal:

  1. When you are ready to make a comment, revision or approve your proposal click either of these buttons.

The comment buttons throughout your proposal look like this:

  1. You will be prompted to create a Tern account.

  1. Enter Your Email: Be sure to use the same email your travel advisor shared the itinerary with to match your account with the information provided.

    1. Alternatively, you can create an account using your gmail by clicking “Sign Up with Google”

  2. Choose a Secure Password: Make sure to note the password requirements for security purposes.

  3. Click the blue "Sign Up" button: Once your details are entered, click on the "Sign Up" button.

  4. Enter Your Name, Phone Number, and Location: Complete these fields to personalize your account.

  5. If prompted, Select "I'm Traveling and My Advisor Suggested Tern…": This step is crucial for creating a free account that grants you access to your travel details.

  6. Confirmation and Validation: After signing up, you'll receive a confirmation email from Tern. Simply validate your email to unlock access to all your trip information.

Once you’ve created an account, you can view your Proposal with the ability to authorize payments, approve your proposal and request changes.

Now that you have an account - download the app!

  1. First, download the app using the links below:

  2. Log in with your email address and password to start viewing your itineraries.

That's it! With your account set up, you'll have instant access to your travel itinerary, ensuring a smooth and stress-free journey.
