How to Download an Itinerary as a PDF

How advisors and travelers can download a Tern itinerary as a PDF

Introduction:

Your clients are able to download their travel itinerary as a PDF for easy offline access. This feature is particularly useful for those times when internet connectivity is limited. The downloadable PDF includes a cover page, detailed descriptions of all activities, and any PDF documents that are set as "Visible to Travelers" on the trip, ensuring your clients have all the necessary info at their fingertips.

Additionally, clients can view their itineraries offline by preloading the content in their browser while connected to WiFi. This ensures that the itinerary remains accessible even without an internet connection.

How to Access Your Itinerary as a Traveler

On Desktop:

  1. Log in using the email address associated with your account.

  2. Navigate to the Trips dashboard and select the relevant trip.

    • Once inside, look for clearly marked action buttons or prompts related to the trip.

Enabling PDF Downloads for Travelers:

  1. Go to the trip's Overview tab on the left sidebar.

  2. Locate the "Allow PDF Downloads" toggle on the right side of the Overview page, and switch it on.

  3. Remember to then Publish the trip to activate the PDF download feature for your clients. The option to download will then be in the upper right corner of the itinerary screen for the travelers.


    ​Note: Clients must have Full Access to the Trip and be logged in to their Tern Traveler account to see the "Save as PDF" option.

Sensitive documents, such as train tickets, may not be included in the downloadable PDF due to formatting or privacy limitations. To generate a PDF, consider removing these sensitive documents from the itinerary before publishing.

How to Download a PDF as an Advisor:

  1. Navigate to the Itinerary tab of the trip on the left sidebar.

  2. Click on the three dots to the right of the itinerary title -

3. Click the Download PDF option from the drop down menu that appears.

4. That's it! You can download an itinerary as a PDF from here at any time

Additional Notes and Troubleshooting:

  • Image Limitations: Please note that the PDF will include only one image per activity to maintain a balance between detail and file size.

  • Attachment Inclusion: Only PDF-type attachments will be included in the downloaded file.

  • Technical Troubleshooting: If you're having trouble downloading the PDF:

  • Quit and reopen your browser.

  • Perform a hard refresh (Cmd+Shift+R on Mac, Ctrl+Shift+R on Windows).

  • Clear your browser cache and attempt the download again.

  • Encrypted files may prevent the PDF from generating due to formatting and privacy restrictions. Try removing these from the itinerary before publishing and downloading the PDF. - If you continue to experience issues, collect screenshots and report them via Tern's support channels for assistance.- Sensitive Documents: Some documents, such as train tickets, may not be included in the downloadable PDF due to formatting or privacy limitations. Travelers can view these documents via the shared itinerary link. To generate a PDF, remove sensitive documents from the itinerary.- Access Permissions: Ensure you have Full Access to the trip and are logged into your Tern Traveler account with the correct email address. The email used for login should match the one on the contact record.- Technical Issues: If you encounter issues, quit and reopen your browser, perform a hard refresh (Cmd+Shift+R on Mac, Ctrl+Shift+R on PC), or clear your browser cache.

Offline Access to Documents in Tern's Mobile App

You can access documents offline on the Tern mobile app if the page containing the document was previously loaded while connected to the internet. Simply navigate to the document through the attached document icon in the app. WiFi or data is not required to view these previously loaded documents.

For seamless offline access, ensure that the itinerary or document is fully loaded while connected to WiFi. Use the mobile app or browser to access preloaded content during the trip.
