Learn how to set up room options that your clients can select from on lodging itinerary items

Overview

Room options allow you to set up a specific lodging item that has different room types your client can select from. This allows you to...

  • Just have a single lodging item, with multiple rooms the client can choose

  • Allow your client to add multiple of the same type of room, or across different room types

  • Prompt the client to authorize payments for the specific rooms they selected, immediately after those selections are made - all on the same lodging item

How to set up room options

Room options work on any trip type

  • Regular trips & sub-trips: full access travelers will be able to choose their specific rooms, and have them reflected on their itinerary.

  • Group trips: room options will be copied over to sub-trips when you create them, so clients can make their selections. And when Tern supports room selection during client signup (coming soon), they'll be able to make room selections directly when signing up for your group trips.

First, go to a lodging item on a regular trip, group trip itinerary, or sub-trip, and select the "rooms" tab

Select the "convert to options" button on the right. If you've already filled out room information, don't worry - we'll automatically carry over the room names and descriptions that you have added. Please note that any traveler assignments or credit card authorizations (if priced per room) will be reset when you convert.

Before or after converting to options, you can set up rooms or search for cruise cabins normally.

If you're looking to "sell" this room more effectively to your clients, you can also add images directly to the room description. We plan to support more structured media for rooms in the future.

If you have per room pricing, you'll see room options as a "rate" not a total price

Once room selections have been made, you'll be able to see the total price based on what those selections are.

How your clients can select room options

As of right now this is only available from your client's itinerary, but we are also integrating it into the self service signup experience for groups which is coming soon!

Clients will see the option to make room selections from their itinerary

It will appear as a "next step" at the top of their itinerary

They'll also see a prompt to select rooms when looking at the lodging item itself

Next, they can make their room selections

If they need multiple rooms, they can select a room type for each

This includes two of the same room type.

If items are ready for authorization, your client will be taken to that page after making selections

They'll see the selections they made reflected in the total cost of the lodging item (if priced per room). Regardless of whether authorizations are ready, room selections will be submitted to you immediately.

Reviewing selections

When a client selects rooms, you'll get an email immediately

You'll also get the standard authorization receipt, including the specific room selections if applicable.

You can also see selections have been made from your itinerary

And on the rooms tab of the item

If your client needs to make different selections, you can reset them any time.

Just keep in mind that any traveler assignments you make or existing authorizations (if priced per room) will be reset. And if you've manually added other rooms since selections have been made, those will be deleted if you reset.

Selecting rooms on behalf of your clients

You can also make selections on behalf of your client, directly from the rooms tab.

Select the number of rooms and room types, and submit.

This gives you a record of selections made, even if your client doesn't do it themselves.

Instead of seeing room options, your clients would see the room details normally if you've made selections for them.
